Description
Essential Job Functions
The incumbent will perform a wide variety of executive administrative activities as required for a function, department, program, organization or proposal:
Manage calendars, schedule appointments and support meetings for senior Government managers and staff
Prepare official correspondence and memoranda
Coordinate, facilitate logistics support and attend meetings as directed; duties include but are not limited to the preparation and distribution of materials, communications, meeting minutes, scheduling and reservations
Coordinate itineraries, travel, visit request and reservations (domestic and international) including upon return, the filing of appropriate expense and trip reports
Receive and assist visitors and clients
Maintain organization charts, distribution lists and emergency contact information for staff
Collect and provide appropriate materials required for staff in advance of meetings
Compose, send and monitor response to invitations
Capture minutes and actions from meetings; format and distribute as required to attendees and stakeholders
Answer incoming questions and forward incoming communications to appropriate officer
Prepare classified and unclassified documents for review during meetings or between meetings via email correspondence

  • Supervises, reviews and oversees administrative aspects of assigned area including productivity, process, quality, functions and tasks to increase organizational effectiveness.
  • Prepares work assignments and establishes office production priorities to increase efficiency and cost effectiveness.
  • Develops and manages office/department programs to ensure maximum utilization of assets such as services, equipment, space, supplies, etc.
  • Recommends and/or initiates the selection and hiring of employees. Trains and evaluates employees to enhance their performance, development, and work product. Addresses performance issues and makes recommendations for personnel actions. Makes recommendations for salary increases, transfers and terminations to manager.
  • Explores and negotiates larger and more long-term contracts for office supplies in order to reduce company costs.
  • Approves time sheets and provides guidance on administrative work schedules to ensure that company administrative needs are met.
  • Oversees general administrative/department staff and coordinates with vendors to meet organizational needs.
  • Supervises training of new office and administrative or department personnel to ensure that training is effective and meets company objectives and goals.
  • May research, develop, write, execute and administer operating procedures, policies and guidelines. May collaborate and meet with appropriate stakeholders in relation to completion of identified assignments or work activities.


Qualification

Basic Qualifications
  • Bachelor's degree or equivalent combination of education and experience
  • Bachelor's degree in business administration or related field preferred
  • Seven or more years of office services or production processing operations experience
  • Three or more years of leadership experience included
  • Experience working with company office supply and services policies and procedures
  • Experience working with purchasing and negotiating in order to interact with vendors and suppliers
  • Experience working with company inventory and needs
  • Experience working with company and department personnel needs to provide appropriate support as needed



Other Qualifications

Must have an active TS/SCI clearance with a CI Poly.
  • Strong planning and decision-making skills to develop and implement office programs
  • Strong leadership skills to train, mentor, provide work guidance, coordinate, oversee, and lead office services personnel and less experienced managers
  • Good interpersonal skills for communicating with office services personnel and other company personnel
  • Strong organization, time management and presentation skills
  • Strong employee relations skills
  • Ability to develop programs to control costs and analyze cost effectiveness of supplies and services
  • Ability to keep sensitive and confidential material private
  • Ability to handle multiple tasks simultaneously and switch between tasks quickly
