Position Summary:

Provide overall administrative support for US Media Relations (Director, Media Relations, two Managers -- External Communications and Media Relations, and Media Relations Associate) and Americas Corporate Responsibility & Community Relations (Sr. Manager, Americas Corporate Responsibility & Community Relations and one Specialist) teams. Support includes, but is not limited to, processing department invoices; maintaining supply inventory; booking travel; processing expense reports; scheduling meetings; managing central electronic filing system; screening incoming press calls/emails; coordinating logistics and support for Corporate Responsibility initiatives; and assisting in maintenance of Unilever USA web site and portal.

 

Responsibilities:

1.Media Relations (50%)

Support includes:

Manage the Media Relations phone line and email inbox, ascertaining pertinent information needed to respond quickly and effectively and filter information through appropriate contacts internally for handling.

Serve as key point of contact for various third party service providers (clipping service, etc.) and their account representatives.

Manage internal U drive and ensure timely filing of important documents for use by team members.

Disseminate daily morning and afternoon Media Coverage Reports internally.

Coordinate brand-specific press release review and approval process with Brand PR team colleagues.

Upload approved press releases to UnileverUSA.com and notify Press Officers in London and Rotterdam as necessary for posting on global site.

Help edit first drafts of press materials (press releases, media advisories, Q&As, talking points, etc.) as needed.

Maintain Excel spreadsheet of press contact inquiries, editorial deadlines and results.

Prepare and maintain appropriate media contact lists.

 

2.Corporate Responsibility & Community Relations (50%)

Support includes:

Support logistics related to community relations activities/events including, but not limited, to: distribution of employee communications (to sites across the U.S.), liaising with third parties, scheduling transportation and monitoring attendance.

Coordinate monthly meetings for the Americas Corporate Responsibility Network, as well as quarterly meetings of the Contributions Steering Committee. Assist in arranging and providing support for Town Halls/Live Meetings as needed.

Support Sr. Manager in preparing presentations related to Corporate Responsibility, Community Relations, and the Unilever United States Foundation, including the development of charts and graphs.

Responsible for managing monthly updates capturing Volunteer-based activities across approximately 25 US sites; prepare and issue management reports.

Support Specialist on administration/processing/tracking Grant Applications and Final Reports for Unilever United States Foundation.

Assist Specialist in data collection and reporting for Unilevers Worldwide Community Involvement Survey.

Maintain all files and tracking of Grant Applications and Final Reports (electronic & hard copies).

Review, respond, and/or re-direct inquiries related to product donations, sponsorship requests, and funding requests from the Unilever United States Foundation.

 

Challenges:

1.Ability to handle multiple tasks simultaneously (under given deadlines) within Media Relations and Corporate Responsibility & Community Relations. Ability to stay organized and focused is essential.

2.Demonstrate ability to use sound judgment in handling/troubleshooting a variety of external and internal inquiries/requests, specifically in terms of re-directing inquiries, escalating issues, and declining requests that are not aligned with business needs.

3.Operate in a large, complex organization and work in a highly collaborative fashion with multiple inputs/approvals.

 

Key Requirements: (Education; Experience)

1. Minimum of BA/BS in Business, Journalism, Public Relations, Communications, English, Liberal Arts or equivalent.

2. At least 4-6 years in an executive administrative support role at either a corporation or agency.

3. Relevant experience in any of the following areas: Media Relations; Communications, Corporate Affairs and Community Relations desired.

 

Skills:

Excellent organizational skills.

Solid written and oral communications skills particularly in communicating with external organizations.

Strong interpersonal skills/team player.

Ability to perform and prioritize multiple tasks in fast-paced environment.

Build and support infrastructure and systems to maintain organization of files and data.

Able to troubleshoot problems independently.

Superior telephone skills.

Highly proficient in MS Office with emphasis on Word, PowerPoint, Excel and Outlook.

Handle confidential, sensitive and time-sensitive information.

Demonstrated sense of urgency and self-starter.
