    Vital Strategies (VS), based in New York City, is an international public health organization.  We develop and oversee programs to strengthen public health systems and address leading causes of morbidity and mortality, providing expertise in project implementation and management, strategic communications, epidemiology and surveillance, and other core public health capacities.     The Position

    Vital Strategies is seeking qualified candidates for the position of Executive Assistant – Division of Policy, Advocacy and Communications. The Executive Assistant will be based in New York City. Applicants must possess a valid work permit to work in New York City. 

    This position offers a permanent, full time contract.     Overall Role:

    The Executive Assistant will provide comprehensive administrative support to the Senior Vice President - Policy, Advocacy and Communications. He/she will be the focal point for the administration and logistics of meetings and trainings as well as supporting other projects within the Division.




    • Provide comprehensive administrative support to the SVP – Policy, Advocacy and Communications (PAC)

    • Schedule and co-ordinate meeting/conference calls for the SVP – PAC

    • Prepare and edit correspondence

    • Arrange meetings with individuals and groups inside or outside the organization on behalf of the SVP – PAC when requested

    • Compile relevant lists and documents for the PAC Division as required

    • Draft letters, tables, charts, graphs, data tables, presentations and other visual aids as necessary

    • Arrange travel and accommodation for the SVP-PAC


      Conference and Meeting Logistics

      Focal point for the administration and logistics of conferences, meetings and trainings for the PAC Division:

    • Discuss and revise list of participants with SVP - PAC

    • Prepare conference and training materials and budgets

    • Communications with participants

      • Confirm participation

      • Coordinate travel planning and assist with visa support letters

      • Prepare and distribute logistics and meeting/training material

      • Prepare and process per diem requests

      • Assist with handling any special requirements

      • Respond and assist with any issues that may arise, escalate as needed


    • Arrange specifically requested meetings for the SVP – PAC



    • Assist the SVP-PAC with any special projects as required




    • Bachelor’s degree and at least 3 years’ experience in a similar role

    • Ability to articulate viewpoints and present information concisely and accurately

    • Outstanding organizational and time management skills

    • Strong background in writing and editing

    • Computer literacy particularly Microsoft Office applications

    • Excellent interpersonal communication

    • Ability to work as part of a team
