Summary: The Executive Assistant is responsible for enhancing the Managing Consultant’s effectiveness by performing a wide variety of complex, diverse, sensitive, and confidential administrative functions while providing overall gatekeeping and information management support. In parallel with Executive Assistant responsibilities, this role is designed to develop into an Employee Benefits Account Manager through structured training, including obtaining a Life & Health insurance license and attending NFP Benefits University classes.

Essential Duties and Responsibilities:

  • Act as gatekeeper to the Managing Consultant, understanding priorities in the organization.
  • Maintain heavy, complex and frequently changing calendar.
  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation, and arranging lodging and meeting accommodations.
  • Coordinate meetings and appointments as directed by the Managing Consultant, reserving meeting space, and preparing the conference room with audio-visual technology as needed.
  • Provide high level administrative support to the Managing Consultant.
  • Schedule all internal and external meetings and coordinates logistics for meetings/lunches.
  • Coordinate all aspects of appointments, meetings, and conference calls.
  • Prepare and review materials and correspondence for meetings.
  • Compile and modify presentations, spreadsheets, and other various documents.
  • Handle all confidential business matters and works independently on special assignments.
  • Answer and screen incoming phone calls and places calls as directed.
  • Handle personal matters as necessary.
  • Participate in regular departmental meetings and training and development sessions as directed.
  • In parallel with Executive Assistant duties, actively participate in a structured development path to become an Employee Benefits Account Manager, including completing required training, obtaining a Life & Health insurance license, and attending NFP Benefits University classes.

  • Facilitate all aspects of the meeting prep process, coordinating with all necessary departments to gather and compile appropriate materials that will lead to a successful meeting.
  • Provide a bridge for smooth, accurate communication between the Managing Consultant’s office and internal departments; demonstrating leadership to maintain credibility, trust and support.
  • Execute occasional marketing campaigns as directed by Managing Consultant in conjunction with Marking Department.

Knowledge, Skills, and/or Abilities:

To perform this job successfully, must be able to perform each essential duty satisfactorily.  Must also have expert level communication skills and strong decision making ability is essential.  Must have the ability to interact diplomatically and professionally, while maintaining the highest level of confidentiality.  The ability to work independently and multi-task is crucial. Exceedingly well organized, flexible and able to prioritize in a fast paced environment is key.  The ability to manage multiple priorities: several calendar requests to ensure each meeting is given the proper prioritization.  Must be a power user in Microsoft Outlook, Word and PowerPoint, and proficient in Excel. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

Education and/or Experience:

  • Bachelor’s Degree preferred but not required with 5-10 years’ related experience as an Executive Assistant or Project Manager, preferably in Financial Services or Insurance. 

Certificates, Licenses, Registration:

  • Life & Health insurance license required within 180 days of hire. Participation in NFP Benefits University classes and other required training is expected as part of the role’s parallel development into an Employee Benefits Account Manager.

The base salary range for this position is $62,000 to $95,000.  The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
