The Office of Alumni & Development is comprised of three different areas: Advancement Services, Alumni Relations, and Development.The Alumni & Development Office is responsible for building and maintaining relationships with alumni, donors, and other stakeholders to support the university's mission. This office manages fundraising initiatives, including annual giving campaigns, major gifts, and planned giving. It also organizes events, such as reunions and donor recognition ceremonies, to engage alumni and foster a strong sense of community. Additionally, the office oversees alumni communications, maintains donor and alumni databases, and conducts outreach to cultivate and secure financial support for scholarships, facilities, and academic programs.
Position Summary
The Alumni and Development Office at Bridgewater State University is seeking a detail-oriented and enthusiastic entry-level administrative assistant. This position provides essential administrative support to foster relationships with alumni, donors, and campus partners. The ideal candidate is organized, professional, and eager to contribute to the team's mission of building a strong alumni network and enhancing development initiatives. This position supports the Director of Alumni and Student Engagement and reports to the Staff Assistant. The candidate assists with day-to-day operations, provides excellent customer service, and utilizes various administrative tools to help manage departmental budgets, personnel, equipment, and processes while maintaining accurate records.Full-time, AFSCME position
TOUR OF DUTY: 8:00 a.m. to 4:15 p.m. Monday - Friday OR 8:45 a.m. to 5:00 p.m.
(with Saturday and Sunday as days off).

This is a non-essential position.
This is an AFSCME unit position and is subject to the terms of that union agreement.
Essential Duties
* Provide administrative support to the Director, Alumni and Student Engagement and Staff Assistant with projects, research and reporting as needed.* Serve as a welcoming point of contact for alumni and donors, addressing inquiries and providing assistance as needed.* Scheduling appointments, maintaining calendars, and assisting with travel arrangements (planning, reimbursement, etc.).* Compile data and prepare reports concerning assigned department activities.* Assist with administrative elements with planning and executing alumni events, fundraisers, and development activities, including preparing materials, coordinating logistics, and tracking RSVPs.* Organize and manage digital and physical files, including meeting minutes, and event documentation.* Administer and monitor departmental budgets, create purchase orders, and maintain office supplies.* Schedule, attend meetings, and take meeting minutes as needed.* Occasional evening or weekend hours may be required for special events.Required Qualifications
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below.I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.- Commitment to customer service excellence/support to enhance an environment of equity, diversity and inclusion.

- Ability to learn or knowledge of Banner system.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Demonstrated ability to perform in a professional manner with a customer service mindset
- Team-oriented with a proactive approach to problem-solving
