Executive Assistant – Servicing

The Executive Assistant will provide all necessary administrative support to the Servicing Leadership Team (SLT). This position requires an experienced and well-organized, detail-oriented individual with the ability to take direction from multiple people and handle competing priorities in a fast-paced environment. As a trusted member of the Servicing team, they must be self-driven with a proactive approach to their support, the ability to think big picture, and work independently, as well as collaboratively.
*This position is an in-office position, with an immediate start date.
Position Responsibilities:
Meeting Coordination
Meeting Coordination
- Coordinate and schedule internal and external meetings for Servicing Senior Leadership Team (SLT)
- Reserve and set-up meeting rooms, coordinate meeting technology, and order food/drinks for meeting, as needed
- Manage calendars for SLT Communicate with internal teams and external clients as necessary regarding meeting and event details
- Take meeting minutes as needed and distribute to stakeholders
- Source and secure venues for Servicing events – (e.g., meeting facilities, restaurants)
- In collaboration with Conference & Events Committees across Northmarq, coordinate Servicing and lender events, including event details, catering, technology, and event activities
- Organize internal employee appreciation events and assist in planning and hosting additional lender events and visits.
- Coordinate and book travel (air, ground, lodging) for SLT
- Process expense reports for SLT
- Coordinate, order, and distribute gifts for clients and staff, including holiday gifts and cards
- Draft and update PowerPoint slides for proposals, presentations, and marketing collateral
- Support SLT in various special projects serving Servicing Leadership initiatives
- Set up a tracking file to log duties and time spent on various tasks, ensuring transparency for prioritization, projects and workload balance
- Take on new projects and tasks, in line with department goals and objectives, as the company grows
- Ability to travel twice a year for event responsibilities
- 2- or 4-year degree or equivalent experience
- 3-5 years of previous experience in Servicing or administrative roles supporting senior executives. Experience in Real Estate or Financial Services a plus.
- Proficient in Microsoft Excel, Word, PowerPoint and Outlook
- Ability to work independently with minimal supervision
- Excellent organizational skills and ability to manage multiple tasks simultaneously
- Strong prioritization skills and ability to meet deadlines
- Excellent oral and written communication skills with the ability to communicate effectively with staff at all levels
- Problem-solving skills to reflect level of responsibilities, with ability to determine when to proceed independently and when to seek guidance
- Strong attention to detail and accuracy
- Ability to handle confidential or sensitive information with discretion
- Ability to adapt to changes in the work environment and manage competing demands
- Ability to partner and collaborate across teams
