The Maintenance Planner is a critical role within the maintenance organization, responsible for managing, creating, and updating the maintenance planning strategy to ensure effective and optimal use of maintenance budgets. This role involves developing standards and procedures for maintaining assets, conducting improvement analyses, reviewing maintenance planning strategies, monitoring performance data, and organizing and reviewing the department’s day-to-day maintenance work under the direction of the Maintenance Manager. Collaboration with maintenance team leaders, operations team leaders, operations planners, and quality teams is essential.

Essential Functions:

  • Understand and analyze Overall Equipment Effectiveness (OEE).
  • Execute and improve Preventative Maintenance (PM) and Corrective Action (CAL) tasks.
  • Evaluate equipment performance criteria for condition monitoring and failure analysis.
  • Provide guidance on applying maintenance procedures, policies, and standards.
  • Write Inventory (INV) requests for Maintenance and create Corrective and Preventive Actions (CAPA) to resolve issues.
  • Support other Team Leaders with training and payroll.
  • Work with contractors and vendors to track performance requirements.
  • Partner with operations, functional, and management personnel to optimize the maintenance process.
  • Organize and review day-to-day maintenance operations.
  • Reserve time on the production schedule for PMs, CALs, and Corrective Maintenance (CMs).
  • Facilitate weekly and monthly scheduling and reliability meetings.
  • Prepare draft schedules for ready-to-schedule work orders.
  • Update schedules based on production execution and adjust maintenance activities accordingly.
  • Forecast work schedules at least three months in advance aligned with the operations schedule.
  • Identify equipment availability with operations.
  • Update and maintain KPI reporting for Maintenance Planning & Scheduling attainment.
  • Coach and mentor Maintenance Planners across business units.
  • Create Out of Tolerance (OOT) reports for calibrated equipment not within specifications and submit to Quality for approval.
  • Maintain CMMS database system codes and asset information.
  • Manage and optimize inventory and spare parts requirements for preventive and planned maintenance tasks.
  • Analyze maintenance and asset performance data to develop targeted maintenance and lifecycle replacement strategies.
  • Prepare weekly, monthly, quarterly, yearly, and other reports.
  • Lead cross-functional teams for shutdowns, major rehabilitation planning activities, and quality projects.
  • Participate in planning renewals and related projects, such as annual maintenance shutdowns.
  • Perform special projects and other related duties as assigned.

Other Functions:

  • Track services, special tool availability, and materials to facilitate safe and effective maintenance work execution.
  • Facilitate communication activities and act as liaison between hourly colleagues and other leaders at the site.
  • Lead and coordinate Root Cause Problem Solving Analysis focused on process failures.
  • Create a work environment that embraces change and implements goals to meet business requirements.
  • Make recommendations for maintenance strategy changes.
  • Perform special projects and other related duties as assigned.
  • Collect documentation improvement opportunities for review and approval with the Reliability Improvement Team.
  • Work from drawings, schematics, and specifications and interpret blueprints, plans, and schematics.
  • Demonstrate knowledge of electronic repair practices and methods.
  • Exercise good judgment in planning and detailing maintenance work.
  • Communicate effectively both verbally and in written form.
  • Comprehend and adhere to regulatory procedures.
  • Support the Reliability Management Process through continuous improvement.
  • Initiate updates or creation of documentation for existing equipment based on gaps identified from planning and execution of work orders.
  • Audit project documentation packages for new equipment to ensure completeness and standards compliance.
  • Recommend upgrades to master data and documentation standards.
  • Meet all quality requirements to ensure timely completion of work orders.
  • Create OOT reports for calibrated equipment not within specifications and submit to Quality for approval.

Education and/or Experience:

  • University/bachelor’s degree in engineering, scientific, or related discipline preferred. Exceptional candidates with industrial maintenance planning experience will be considered without a bachelor’s degree.
  • Vocational, Certificate, Technical, or associate degree is equivalent experience preferred.
  • Minimum of five years of total experience required.
  • Experience in a regulated environment preferred.
  • Experience leading technical maintenance teams preferred.
  • Minimum of three years of maintenance planning experience preferred.
  • Previous experience in a healthcare manufacturing environment preferred.
  • Flexibility in work hours required (must be available to work outside normal working hours or return to the site based on demand/business needs).
  • Strong analytical skills required.
  • Excellent technical writing skills required.
  • Proficiency with MS Office required.

Work Environment and Physical Demands:

  • Perform tasks with exposure to adverse environmental conditions.
  • Ability to lift a minimum of 50 pounds.
  • Effectively utilize appropriate safety equipment and procedures.
  • Climb/descend ladders and work in elevated locations.
  • Work in adverse weather conditions.
  • Demonstrate normal color perception, hear audible alarms, and detect abnormal equipment sounds.
  • Visually and physically inspect equipment and processes at any time of the day or night.
