Paralegal/Case Manager Job Description: We are seeking a highly skilled and experienced paralegal to be the backbone of our daily operations, ensuring the smooth functioning of our family law practice. The successful candidate will not only be an experienced Minnesota family law paralegal, but will also have strong writing skills and be adept at technology, particularly Microsoft Office Suite, Teams, Adobe Professional, and QuickBooks. Strong document and file management skills are also necessary. Above all, the individual will understand the sensitive nature of family law, exhibit the utmost discretion with client matters, showcase sound judgment, and serve our clients with compassion and kindness.
KEY RESPONSIBILITIES
Paralegal Duties:
- Assist attorney(s) in the preparation and filing of legal documents related to family law cases.
- Utilize Westlaw for preliminary legal research.
- Utilize Tylerhost file and serve for electronic filing and service of documents.
- Access and retrieve court records using the Minnesota Court Records Online (MCRO) system.
- Prepare and edit documents using Adobe Professional and Microsoft Office Suite.
- Maintain client information and case details using Practice Panther or other client management software.
- Manage template database using Practice Panther, Adobe Professional, and Microsoft Office Suite.
- Continue paralegal education.
- Other duties as assigned.
Case Manager Duties:
- Answer inbound calls professionally, manage client inquiries, and direct calls as appropriate.
- Successfully screen leads for conflicts, provide intake, and schedule consultations, all while avoiding giving legal advice.
- Conduct virtual/in person meetings with clients, maintaining a warm and professional demeanor.
- When working in the office, welcome walk-in clients, providing an empathetic and supportive environment.
- Maintain strict confidentiality of all client matters and contribute to a secure and organized office environment.
- Employ excellent judgment and quick decision-making in response to office and client needs.
- Must be able to effectively screen clients to avoid conflicts of interest, while ensuring a kind demeanor and refraining from giving any legal advice.
- Use Practice Panther client management software to track time, manage workflow, communicate with clients, manage client data, and send and receive documents.
- Manage client files-work directly with clients to collect all necessary documents. Follow document management procedure.
- Utilize Microsoft Office Suite, Teams Phone, Adobe Professional, and other technology tools to create, manage, and organize documents and correspondence.
- Manage attorney schedules.
- Meet and manage deadlines.
- Prepare and maintain digital files for attorney-ensuring attorney has appropriate files in advance of client meetings, mediation, ADR, and court dates.
- Other duties as needed/assigned.
QUALIFICATIONS
Minimum Qualifications:
- Bachelor's degree in paralegal studies or bachelor's degree and paralegal certification.
- At least two years of experience working in an office environment.
- Must obtain a Minnesota Certified Paralegal certification within six months of employment.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Proven experience in an administrative support role, preferably in a legal setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Teams, and Adobe Professional.
- Demonstrated ability with document management and file organization systems.
- Exceptional discretion with the ability to keep client matters confidential.
- Outstanding communication skills, both written and verbal, and the ability to connect with people in stressful situations.
- A proactive work ethic, excellent judgment, and the ability to work effectively both independently and as part of a team.
- Hybrid working available: Must be able to come to the office in Rochester for first day of training and then periodically as needed.
Preferred Candidates:
- Bachelor's degree in paralegal studies.
- Experience as a paralegal, preferably with a focus on Minnesota family law.
- Proficiency in Tylerhost file and serve, MCRO, Adobe Professional, and Microsoft Office Suite.
- Familiarity with Practice Panther software.
- Hybrid: The preferred candidate will reside in the Rochester, MN area and be available on site at least three days a week with remote work optional for two days a week.
