Summary
Provides high level administrative support to the Assistant Dean for Student Affairs and Associate Director of Cooperative Education. Relieves the administrators of non-routine administrative tasks, many of them confidential in nature. Serves as liaison between the administrators and other college staff, faculty, and students. Prepares written and oral communications. Maintains and monitors calendar/schedule. Researches and provides information as needed.
Essential Functions
- Independently relieves the Assistant Dean and Associate Director of non-routine administrative tasks and serves as liaison to faculty, staff and others. Assumes responsibility for the relative day-to-day office operations, including preparing correspondence, greeting visitors, and directing incoming mail, email, and phone calls
- Primary support for undergraduate student services related matters in the college including but not limited to academic honesty, academic standing, college scholarships, student program coding, student records, and overarching enrollment and registration matters
- Work with School staff and Directors to coordinate student concerns and processes.
- Serve as secretary to College Undergraduate Program Council curriculum committee
- Assist in course schedule development and enrollment for undergraduate students in cooperative education courses along with additional support with Schools. Liaison with Office of Registration and Records to develop best protocols and practices
- Additional support for Cooperative Education including data tracking
- Track budgets and P-Card transactions. Create requisitions, Invoices, receipts, and transfers in the university's financial management system (FMS).
- Assist with coordination of marketing materials with other College and School staff, including website information
- May coordinate student employment for the office. Monitors student employment budget.
- May provide work direction to other staff.
- Open and close department office at university-appointed times.
- Support the College with student related matters
- Interact with and support other college staff, Directors, and Deans as needed
- Serve on various committees.
- Order and maintain office/computer supplies,
- Perform other duties as assigned by supervisor.
Minimum Qualifications
Experience
- One to two years related experience required; must include progressive administrative experience
Education
- High school diploma or GED required
Preferred requirements
- Associate's degree or higher preferred

- Ability to operate computers and peripheral equipment such as printers
- Ability to draft office correspondence
- Ability to use sound judgment, tact and discretion when working with confidential files
