Job Summary

The Event Marketing Specialist reports directly to the Manager, Meeting & Events North America. This position is responsible for assisting the Farm Show Manager in planning, development and execution of the activities surrounding Farm Shows (National) and assisting the Manager, Meeting & Events with the production of Dealer Incentive Trips, Dealer Business Meetings, Product Launches, Regional Farm Shows, Training Events, Headquarters Events and more.

 

Job Function and Responsibilities

Events/Meetings/Incentives

  • Ownership of all event related communications:
    • Event Registration Websites: from content creation to attendee reporting, including drafting of content for approval, working with the IT team on website creation (using a web builder called Cvent, training provided), testing and reporting of who is attending.
      • Timely and accurate production of each website.
    • Staff Information Kits and Executive Information Kits for each show or event.
    • Show/event notebooks for each show with all pertinent information for each show.
    • Show/event emails (Registration Reminders, Know Before You Go, Surveys, Follow Up, Thank You)
  • Creation of Monthly/Weekly conference calls to review status of all aspects of event show planning.
  • Assist the Manager, Meeting & Events in the production of any nationally owned Dealer Business Meetings, Dealer Incentives or Reward Trips.
    • Assist in selection of vendor partners, contract reviews, budget spend.
  • Assist the Manager, Meeting & Events to generate event needs and assists in researching vendors and managing the suppliers.
    • i.e., catering, AV support, decorations, print materials, graphic design, rental items, transportation, hotel lodging, etc.
  • Prep and packing/unpacking of all event related supplies.
  • Think critically and act with resourcefulness and negotiation skills to select vendors who can meet our needs and budget.
  • Work with internal creative department to ensure creation and shipment of all the necessary marketing materials (signs, banners, kiosks, tradeshow literature) for the Events.
  • Support of project management from event conception to reconciliation.
  • Plan and coordinate yearly selection of tradeshow uniform.  Coordinate list of employees to receive clothes for each show.
  • Assist Tactical Managers and Field Marketing Managers with Product Launch meetings, as necessary, including website creation, vendor selection, catering management, hotel selection and staff attire. Project ownership as the Events Team representative.
  • Assist with Event Financial Management – managing an accurate budget for each show or event. 
  • Keep records for all project expenses – work as a team to manage expenses and vendors and to ensure budgets are met.
  • Annual Financial Management – assist in creation and management of the department annual budgets.

      Farm Shows

  • Ownership of all Farm Show related communications:
    • See above.
  • Works with Manager, Meeting & Events and Farm Show Supervisor to strategize how to maximize market presence at shows and to drive and keep traffic in our booth.  Need to be able to help provide ROI for our presence at these shows.
    • Bring forth ideas and solutions on how to improve presence to group.  Implement ideas that will keep traffic on our lots.
  • Assist Farm Show Manager in management and inventory of AGCO branded properties, exhibits and supplies housed at AGCO’s warehouse.
  • Assist the Farm Show Supervisor in working with various vendors to coordinate the necessary assets to make the Farm Shows successful.
    • Clothing, graphics, tradeshow displays, a/v equipment, catering, landscaping, power, electrical, furniture, rental items, etc.
  • Support development of “out of the box” ideas to drive traffic into the lot that is in keeping with the brands marketing communications plans.
  • Keeping current on the brand activities (product launches and brand positioning) in order to come up with creative ideas on representing at the shows.

 

ESSENTIAL SKILLS 

Education

  • Bachelor’s degree in Communications, Advertising, Marketing and/or Business preferred.  Associate’s degree required.

 

Qualifications and Experience

  • A minimum of 4 years meeting and event planning/management working experience required.
  • Experience or knowledge of Agriculture/Agribusiness or experience with large equipment valued, but not required.
  • Must be capable of effective verbal and written communication and have a willingness to learn. 
  • Works well in a high enthusiasm, team environment.
  • Takes ownership of current and future projects and has forward thinking planning skills.
  • Must have a “can do, positive” attitude and a strong attention to detail. 
  • Must be a multi-tasker and handle several projects at the same time. 
  • Must be proactive and solutions-oriented, not reactive.  Offering help – not waiting for projects to be assigned.
  • Must have strong problem solving capabilities. 
  • Computer literacy required (working knowledge of Excel, Word, PPT, Outlook).
  • Cvent knowledge/experience a bonus; willingness to learn.
  • Ability to lift a box of 25+ pounds and climb a ladder in the events inventory warehouse.
  • Willingness to learn (or past experience) to drive a forklift, as needed.
  • Must be willing to work in a warehouse or outdoor environment.
  • Interpersonal Skills:
    • Interaction with manager: Daily interaction with manager to clearly understanding short-term goals (weekly) and long-term project goals (quarterly) and project manager, as needed.  Continuous learning by asking clarifying questions and determining the right level of autonomy.
    • Interaction with peers: Open interaction with Farm Show Manager, product specialists, brands, field marketing and vendor partners to learn better ways to work together.
    • Interaction with executives: Interaction with senior executives to oversee their event related travel plans, communicate the event goals and objectives and to assist with their needs, as required. Ability to work well with their administrative support team, as well.
    • Communications: Ability to express him/herself clearly verbally.  Beginning to structure thoughts and arguments in presentation form.  Ability to draft event marketing messages that are clear, concise and provide all necessary information.
    • Multiple Projects: Ability and willingness to work on multiple projects at one time and to wear multiple “hats” on the Events and marketing teams.

 

ADDITIONAL REQUIREMENTS

 

Travel Required

  • Must be able to travel during Event & Farm Show seasons (mid-week & weekends), as well as to Product Launches or Site Visits as needed.
  • On average, 20-25% travel required.
