Vertex Pharmaceuticals Incorporated is looking to hire an Administrative Assistant IV to support the Vice President, Deputy General Counsel in Boston, MA. The successful candidate is a self- starter who is able to understand the business priorities and work with little supervision. The candidate must have strong achievement drive with an impeccable eye for details and a strong work ethic.

Key Resposibilities

  • Extensive and continuous calendar management, which includes:
    • Working closely with other assistants to schedule meetings involving multiple, tightly-scheduled executives;
    • Using independent judgment to set priorities and propose alternatives to meetings;
    • Resolving calendar conflicts in advance of meetings;
    • Promptly and appropriately replying to urgent meeting and call requests;
    • Sending out timely notification of scheduled meetings;
    • Handle logistics for meetings (rooms, security, parking, food)
  • Take ownership of internal team meetings and events; attend team and other group meetings to ensure discussed items receive follow up and scheduling, at times also accurately transcribing and timely distributing minutes.
  • Creatively, accurately and efficiently produce various documents, especially in Power Point, and also in Word and Excel
  • Manage domestic and international travel
  • Organize and submit business expense reimbursements using Concur
  • Manage outside counsel invoices in electronic billing system (CounselLink)
  • General administrative duties such as copying, scanning, mailing, opening and maintaining electronic and paper files
  • Provide administrative support when possible to the other US members of your executive's team

Minimum Qualifications

  • Bachelor's Degree.
  • 5+ years of experience supporting administrative functions at the senior or executive level in a fast paced, dynamic corporate environment supporting senior level executives
