Position Summary

Be part of a team that keeps the airport's large fleet of equipment and vehicles running strong! Metropolitan Airports Commission is seeking a Fleet and Equipment Coordinator to support the full life cycle of the airport's vehicles and equipment, from selection and purchase to maintenance, recordkeeping, and compliance. In this newly created role, you'll help launch and manage our Telematics system, maintain our Field Maintenance Information System (FMIS), and manage titling, registration, and licensing for all fleet vehicles. This position will assist with budget planning, developing equipment specifications, and purchasing vehicles and equipment while ensuring compliance with procurement policies. This position plays a key role in coordinating training, supporting preventive maintenance programs, and making sure our fleet is operating safely, efficiently, and in line with all regulatory requirements.

The Fleet and Equipment Coordinator works closely with the Fleet department and other MAC departments to facilitate the selection, procurement, maintenance, and optimization of vehicles and equipment. This position ensures compliance with procurement policies, assists in budget planning, develops equipment specifications, and monitors fleet utilization. The Fleet and Equipment Coordinator conducts inspections to verify contract compliance, and manages the titling, registration, and regulatory reporting for fleet vehicles. The Fleet and Equipment Coordinator is responsible for coordinating training, implementing preventive maintenance programs, and maintaining accurate records of fleet operations and compliance.

This is a safety-sensitive position which will require a pre-employment drug screen.

Position Description

JOB DUTIES

Equipment Selection, Procurement, and Vendor Coordination

  • Collaborate with Fleet Operations and all MAC departments in the selection and procurement of new and replacement vehicles and equipment in accordance with organizational policies.
  • Conduct on-site meetings with reliever airport management and staff to assess equipment needs and usage.
  • Assist in budget preparation for capital equipment purchases and leases/rentals of maintenance equipment and vehicles.
  • Develop and draft detailed equipment bid specifications as required, including technical and performance specifications for a wide range of vehicles and equipment.
  • Conduct pre-delivery and final delivery inspections of all vehicles and equipment to ensure that vendors of equipment and vehicles meet contractual delivery, warranty, and purchasing obligations.
  • Research and stay informed on new maintenance equipment and vehicles and emerging technologies related to fleet vehicles, equipment, and software.
  • Evaluate and recommend equipment based on mechanical capabilities, operational needs, durability, and maintenance requirements.

Training and Operator Support

  • Work with Technical Training to develop and coordinate training programs for operators and maintenance personnel on the safe and efficient operation of new and existing equipment.
  • Identify training needs and provide training related to software used in equipment and vehicles as needed.

Equipment Maintenance and Optimization

  • Act as Fleet Coordinator for the enterprise Telematics system and Fleet Management Information System (FMIS).
  • Develop and implement an equipment preventative maintenance program, including scheduled services, parts replacement, and inventory management to ensure that vehicles and equipment are maintained and repaired in accordance with organizational policies.
  • Monitor the condition of vehicles and equipment across all MAC locations and make recommendations for replacement.
  • Collaborate with employees and vendors to assess mechanical performance issues, safety concerns, or failure trends.
  • Support fleet optimization efforts by identifying underutilized vehicles for reassignment or removal.
  • Ensure that all maintenance requests and fleet data are properly recorded in the Fleet Management Information System (FMIS), including acquisition, in-service, maintenance schedules, repair history, fuel, life cycle, and disposal.
  • Track and use Telematics Data to improve sustainability, efficiency, maintenance, and safety.  

Compliance and Record-Keeping

  • Manage the titling, registration, renewal, and new vehicle registration processes for all fleet vehicles, ensuring compliance with state and local regulations. 
  • Serve as the primary liaison with motor vehicle agencies and internal departments; monitor regulatory changes and advise on compliance adjustments.
  • Maintain and audit Field Maintenance and Fleet driver records, including Take-Home Vehicle Authorization Forms, fuel card purchases, mileage costs, and damage reports.
  • Ensure compliance with accident and vehicle damage reporting, vehicle and equipment safety inspections, and emissions requirements.
  • Coordinate with Risk Management to provide information for insurance claims and make recommendations for damaged assets, insurance claims, retained cash loss, and other related issues.
  • Provide guidance to employees on proper usage of pool cars and fueling procedures.

Other Duties

  • Partner with Airside Operations and other related departments for snow and ice control operations and other airfield weather-related maintenance issues and concerns.

Position Requirements

MINIMUM REQUIREMENTS

  • High school diploma or equivalent AND five (5) years of experience in fleet management, equipment procurement, contract compliance, equipment inspections, or a related field.
    OR
  • Associate's degree in business administration, logistics, procurement, fleet management, or a related field AND three (3) years of relevant experience.
    OR
  • Bachelor's degree in a related field AND one (1) year of relevant experience.
  • Strong organizational, analytical, and communication skills.
  • Ability to conduct complex research, analyze data, identify trends, and report findings.
  • Experience preparing requests for proposals and bid documents, negotiating contracts, and executing acquisition agreements.
  • Experience developing technical specifications for equipment or vehicle purchases and performing inspections for contract or operational compliance.
  • Working knowledge of mechanical, electrical, or operational features of fleet vehicles and specialized equipment.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Teams.
  • Ability to analyze financial data and prepare reports, statements, or projections.
  • Experience evaluating and organizing detailed information into concise reports and correspondence.

DESIRABLE REQUIREMENTS

  • Experience using Fleet Management Information System software.
  • Training or certification in equipment safety inspection, fleet diagnostics, or telematics systems.
  • Experience conducting vehicle or equipment inspections for operational readiness, specification compliance, or maintenance evaluation.
  • Experience with commercial vehicle administration or vehicle licensing.
  • Experience evaluating technical specifications and compliance standards in public sector or municipal fleet procurement.
  • Valid NAFA Certified Automotive Fleet Manager (CAFM), NAFA Certified Automotive Fleet Specialist (CAFS) certification, ASE (Automotive Service Excellence) Certification in relevant areas, or any other fleet management, procurement, or logistics-related certification.
  • Experience operating or overseeing the maintenance of specialized equipment or heavy fleet vehicles.
  • Knowledge of MSP airport operations, including Part 139.
  • Working knowledge of airport operations/aviation industry.
  • Valid Class A or B commercial driver's license (CDL) with airbrake endorsement.
